Overview
The Information Technology Project Coordinator will play a critical role in managing project activities and supporting procurement processes for a key client engagement. The contractor will work closely with project managers and the Small Projects and Orders Team to ensure the timely delivery of project milestones while actively participating in process improvements. This position requires daily monitoring of requests, procurement support, and effective communication with clients to manage risks and updates.
Responsibilities
- Monitor the shared mailbox daily to acknowledge or allocate all new requests within 1 working day.
- Raise 100% of Purchase Orders for third-party suppliers within 2 working days upon receipt of complete information.
- Allocate 50% of working capacity to procurement activities, tracking progress and escalating blockers within 1 working day.
- Manage assigned small projects under the guidance of the Programme Manager, achieving at least 95% of agreed milestones on time.
- Identify and implement at least one process improvement per quarter, documenting the benefits.
- Maintain accurate and up-to-date project information in ServiceNow for assigned project management activities.
- Provide regular status updates to clients, ensuring material risks and delivery changes are communicated promptly.
- Proactively identify and escalate emerging risks or issues within 1 working day, proposing next steps as necessary.
Requirements
- Experience in project coordination or management in an IT environment.
- Proficient in procurement processes and purchase order management.
- Familiarity with project management tools, specifically ServiceNow.
- Ability to manage small projects and deliver on agreed milestones efficiently.
- Strong communication skills for client interactions and status updates.
- Demonstrated ability to identify process improvements and their benefits.
- A valid BPSS security clearance or eligibility to obtain one.
