Overview
The Project Coordinator will play a vital role in supporting ongoing client engagements by managing project activities and procurement processes. This position involves collaboration with Project Managers, ensuring timely delivery of milestones, and implementing process improvements. The Coordinator will actively contribute to team priorities and maintain project records in ServiceNow to facilitate efficient project management.
Responsibilities
- Monitor the shared mailbox daily, acknowledging or allocating all new requests within 1 working day.
- Raise 100% of Purchase Orders for third-party suppliers within 2 working days of receiving complete information.
- Support Project Managers in the procurement process to adhere to agreed timelines.
- Devote 50% of working capacity to procurement activities for the critical Programme, tracking progress and escalating blockers within 1 working day.
- Manage assigned small projects under Programme Manager guidance, ensuring at least 95% of agreed milestones are delivered on time.
- Identify and implement at least one process improvement per quarter, documenting the resulting benefits or efficiencies.
- Maintain ServiceNow as the system of record for all assigned project management activities, ensuring information accuracy.
- Provide clients with regular status updates, promptly communicating material risks, issues, and delivery changes.
Requirements
- Proven experience in project coordination or management.
- Familiarity with procurement processes and raising Purchase Orders.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Experience with project management tools, particularly ServiceNow.
- Knowledge of risk management and issue escalation processes.
- Ability to effectively communicate with clients and stakeholders.
- Eligibility for BPSS clearance is required.
- Contract experience, particularly in an outside IR35 role, is preferred.
